BUSINESS RECEPTIONIST / Scheduler - Clerical Duties


Canadian Information Systems is an on-site PC and Network company that has been servicing all of the needs of residential and commercial clients for over 7 years.
It is expected that the selected candidate will have all skills necessary to perform all receptionist / clerical duties on their first day.
The successful candidate for this position will be able to perform all required tasks without supervision.

It is expected that any Canadian I.S. employee is to represent the company in a respectful and courteous manner at ALL times.
The successful candidate must be accustomed to be working in a fast-paced environment.



Background of our services offered / required:

We currently service both the commercial and residential market place. You will be dealing with both commercial and residential clientele, assisting with all scheduling requests and account-related concerns.

The selected applicant will not be offered training on the scheduling and clerical duties and is expected to perform these tasks from their first day of employment.

It is to be understood that you will require your own reliable mode of transportation both to-and-from work.

The ideal applicant should be a self-starter, with the ability to assist and carry-out tasks related to your duties.

Below, we have listed the essential pre-requisite skills required for this position. These skill-sets are listed in order of importance and priority to this current opening within our company.

Although we intend to interview several individuals for this important role, only the most skilled and appropriate applicants will be considered for this employment opportunity and only ONE (1) will be hired.


GENERAL ROLE OF BUSINESS RECEPTIONIST:
  • Answer all incoming telephone calls on a 4-line telephone set.
  • Transfer incoming calls to the appropriate individual on a case-by-case scenario.
  • Perform daily follow-up calls to every customer from the previous work day.
  • Perform daily collection calls for all outstanding receivables.
  • Co-Ordinate and plan daily schedule for all technicians.
  • Sorting / Distributing / Filing all incoming mail.
  • Provide basic information to clients
  • Order office supplies, as needed
  • Follow-up with suppliers / distributors for outstanding orders / RMA's.
  • Supply technicians with directions as needed via MapQuest / MS Streets & Trips.
  • Provide management with updated receivables listing.


  • REQUIRED SOFTWARE SKILLS
    Candidate must be completely familiar with the following:

    Microsoft Outlook 2003
  • Input and organization of calendars for all technicians (4-6 Individuals)
  • Screening and forwarding all incoming "SUPPORT" emails.

  • Microsoft Word 2003
  • Writing letters to clients / suppliers.
  • Typing letters for management from supplied criteria.

  • Microsoft Excel 2003
  • Basic Spread sheet creation / management
  • Ability to organize / manipulate / calculate summaries & totals

    Candidates *must* have their own reliable transportation to and from work.

    READING, WRITING AND SPEAKING

    Candidates must also be 100% fluent in spoken English language.
